Job Aids

Job aids help participants by providing quick access to information or directions after attending days of training.  They guide the user in performing a task correctly and are used during the actual performance of a task.  A job aid can be consulted quickly, as needed, and provide concise information to complete a task. 

ARMA International will provide a one to two-page printed Job Aid for all education programs to assist in the facilitation of more interactive programs.

Needs Analysis for a Job Aid
Planning is critical to developing an effective job aid.  Answer the following questions to help guide you in the development of your job aid.

1.     Goal: Why is the job aid needed?

2.     Target Audience: Who will use the job aid?

3.     Select: the type of job aid to be developed.

4.     Checklist: Lists of items to consider when planning or evaluating.

5.     Decision Guides: allow the user to make decisions and complete tasks based on a set of conditions. 

6.     Procedures (SOPs): Step-by-step instructions showing a sequence.

7.     Forms and Worksheets: Guide user through sequence and include blanks and spaces to document/record information. 

8.     Reference Sources: Lists of products or resources.

9.     Flowchart: Like a decision guide, but use yes/no questions to direct user to a solution.

10.  Reference table: contain information a user may need to perform a task.

?       The task or procedure is linear and there is only one path for the user to follow.

Step-by-Step Job Aid

?       The task consists of steps that must be completed in a specific sequence

?       The user needs to document information to complete the task.

?       The task consists of performing calculations.

?       Information used to complete the task will be referenced later.

Form or Worksheet Job Aid

?       The task does not consist of steps that must be completed in a specific sequence.

?       The task involves inspecting, observing, or planning.

?       Consistency is an important factor.

Checklist Job Aid

?       The task does not consist of steps that must be completed in a specific sequence.

?       Several conditions or variables may exist.

?       There are limited options associated with each decision variable.

Decision Table Job Aid

?       There are several yes or no decisions that must be made.

?       The decisions must be made in a specific order.

?       Completion of the task is dependent on the answer given at each decision point.

Flow Chart Job Aid

?       The task does not consist of steps that must be completed in a specific sequence.

?       The task requires reference to data versus performing a process or procedure.

Steps In Creating a Job Aid

1.        Analyze the task.

  ·   What is typically done to complete the task?

  ·   What is the order of steps, process, or decision-making?

  ·   What tools are used to perform the task?

  ·   Are the same steps followed in the same order each time the task is performed?

  ·   Are there times when the task is performed in a different order?

2.        Select the appropriate type.

3.        Gather the information.

4.        Develop the job aid.

 

Tips for Effective Job Aids

Include clear, simple, specific instructions.

Add simple illustrations and graphics as needed.

 

Checklist for Job Aid Effectiveness

q Is every step in the process covered?

q Are the steps clear and easy-to-follow?

q Could diagrams be used instead of words?

q Is only essential information presented?

q Is the information concise?

q Are additional sources of information presented for unusual problems?
