Housing
• Can I make my hotel reservations now?
You can make hotel reservation for the host hotels starting June 1. Please refer to the Housing & Travel section of this website for more details.
• What hotels have been reserved?
Our hotel group includes the San Francisco Marriott Marquis and the Parc 55.
• Do I have to use the housing link provided on the conference site to make my hotel reservations?
Yes, if you wish to make your reservation online, or ensure you receive the ARMA International discount rate.
• Will I receive a confirmation of my housing reservation?
Yes, you will receive a confirmation by e-mail.
• Will I receive a refund if I have to cancel my room reservation?
Advance individual deposits are fully refundable if canceled more than 14 days prior to arrival.
Registration
• Who is the registration company and what do they do?
ARMA International has selected QMS to conduct its registration this year. QMS is responsible for the registration of attendees, exhibitor personnel, and lead retrieval equipment. Using the same company for registration and lead retrieval ensures that the data you receive on leads can be utilized. Exhibitor personnel registration information is provided to the primary exhibit booth contact upon contract of exhibit space.
• What is lead retrieval?
Lead retrieval records the information on an attendees' badge so you can follow up with that person after the even via physical mailing address, phone, or e-mail. The equipment works with a bar code scanner. Lead retrieval equipment is available to rent from the registration company.
• Do I receive conference passes or tickets with my exhibit rental?
You will receive one conference education pass (sessions only) per 10 x 10 space. This pass is intended for use by your booth personnel and should not be given to customers. Customer passes are available for purchase from ARMA International.
• Can I buy individual conference passes, award event tickets, or lunch tickets?
Yes, you can purchase them at registration online or on-site.
• Who can attend ARMA International’s 55th Annual Conference & Expo?
Anyone age 18 or older interested in what it takes to appropriately manage records and information. NOTE: No one under age 18 is allowed on the Expo floor at any time.
General

Will all conference programming be held at Moscone West Convention Center?
Yes, unless otherwise indicated.
•
What is the dress code?
Business casual; remember comfortable shoes for walking and a sweater or jacket for fluctuating room temperatures. Average high temperatures in San Francisco are 64, with lows near 51.

Am I required to have floor covering in my booth?
Yes. You may bring your own floor covering; you may contract with GES; or you may contract with another third-party contractor.

Will transportation be provided during the conference?
Because hotels are within easy walking distance, no additional transportation will be provided this year.
•
How can I become a speaker at this or future annual conferences?
There are two session rooms on the Expo floor offering vendor speaking opportunities for a fee. Individuals interested in being a speaker off the Expo floor (education speaker) may submit a proposal for the 2011 conference at
www.arma.org/learningcenter. The conference call for proposals takes place approximately one year prior to the event.

Who is the show organizer?
The event is organized and administered by ARMA International association staff.
•
Who is the general contractor and what do they do?
Global Experience Specialists (GES)is the general contractor for ARMA International’s Conference & Expo in 2010. They provide many, but not all, of the services you use at the event, including booth furnishings, carpet, exhibit design, installation and dismantling services, graphics, shipping, and rigging.

What is a non-official contractor?
Some companies, not selected by ARMA International, will present themselves (on purpose or not) as an official supplier for the event. These companies want to compete for the business that ARMA International's official contractors provide to its exhibitors. Many times, they cannot provide the level of service nor have full access to the building. In addition, their services and products can have hidden costs. Let the buyer beware!

What is the facility and what is their role?
Moscone Center West is the facility for ARMA International’s Conference & Expo in 2010. The facility will provide all your utility needs, such as telephone, Internet, and electrical.

How do labor rules come into play at a trade show?
Union labor will be required for most aspects of your exhibit handling. Global Experience Specialists (GES) will have trained labor available to assist you in all aspects of the setup and dismantle of your booth and with the movement of your crates and boxes. Union exhibit labor claims jurisdiction for the installation, dismantling, and cleaning of prefabricated exhibits and displays when it takes longer than 30 minutes and is performed by persons other than full-time company personnel. Exhibitors handling this work themselves must be prepared to provide proof of full-time employment. Labor may be employed by completion of labor forms enclosed in your service kit. All mechanical equipment on the Expo floor must be under the care, custody, and control of GES. This includes, such as forklifts, scooters, pallet jacks, genie lifts, as well as all other equipment mechanical in nature.
